Wraxall already holds the data it needs across ResDiary, HBook, WooCommerce and Smart Gift/Newbridge. This phase makes that data usable: one clear contact structure, governed imports, meaningful segmentation and reporting the team can act on.
Operational transformation, not a platform swap. We reduce complexity, rebuild reporting trust, and give Wraxall Vineyard a customer lifecycle that scales.
Guest information currently sits separately across ResDiary, HBook, WooCommerce and Smart Gift/Newbridge, so no one can see the full picture of a customer or their previous engagement. The practical fix is not an expensive integration programme, it is a properly designed HubSpot foundation with a structured, repeatable way of bringing that data in.
Wraxall will continue exporting data from its existing systems on an agreed weekly or monthly basis. Forbidden will create the data structure, templates and processes required to import this information consistently into HubSpot, updating or enriching existing contact records wherever possible rather than creating duplicates.
The initial approach covers ResDiary restaurant bookings, HBook cottage bookings, Smart Gift/Newbridge voucher and tour-and-tasting information, existing HubSpot and newsletter contacts, and relevant manual lists such as corporate contacts, partners and press contacts. Dojo is out of scope: it is a payment platform and there is no confirmed requirement to connect its transactions to individual customer records. Slack is not currently in use and is presented only as a possible future notification layer.
