Current challenges

02 / 09

BioPhorum has reached a level of operational complexity where legacy systems are no longer an asset, but a bottleneck to growth.

BioPhorum is transitioning from a fragmented landscape of Dynamics 365 and disconnected spreadsheets to a unified, senior-led HubSpot Enterprise ecosystem. This is more than a CRM migration: it is the creation of a central revenue engine for the four commercial divisions - Memberships (Phorums), Training, Implementation Services and Data & Content.

Operational transformation, not a platform swap. We reduce complexity, rebuild reporting trust, and give Biophorum a customer lifecycle that scales.

The current reliance on Dynamics 365 and disparate spreadsheets across the Training and PharmaX divisions has created significant visibility gaps. Leadership requires a unified view of the customer journey - from initial membership in a Phorum to the delivery of complex training programmes and implementation services.

By positioning HubSpot at the centre of the technology stack, BioPhorum will bridge the gap between commercial activity and operational delivery. This transition enables a sophisticated data model that recognises the unique relationship between organisations, workstreams, and value realisation.

Our approach focuses on architectural integrity. We are not just configuring a tool; we are building a scalable framework that supports future acquisitions, integrates seamlessly with NetSuite and LMS platforms, and provides the board with the forecasting clarity needed to lead a multi-divisional organisation.

The operational picture today.

Tooling

Critical

Fragmented Commercial Visibility

What's happening

Data remains siloed in division-specific spreadsheets and a legacy CRM that the business has outgrown.

Business impact

Leadership cannot access a unified view of revenue across Phorums, Training, and PharmaX, leading to reactive decision-making.

Revenue

Critical

Forecasting Inaccuracy

What's happening

Pipeline data is often outdated or incomplete, requiring manual intervention to produce board-level reports.

Business impact

Inconsistent sales processes across four divisions make it impossible to generate a reliable, group-wide revenue forecast.

Process

High

Manual Training Operations

What's happening

Manual processes for course scheduling, certification, seat-based purchases and tutor time tracking increase the risk of human error across all three acquired training brands.

Business impact

The Training division's reliance on spreadsheets across Brookwood Global, Inspired Pharma and Compliance Hub creates significant administrative overhead and limits the ability to scale diverse revenue models.

Data

Medium

Disconnected Customer Journeys

What's happening

Teams lack visibility into a member's participation across Phorums, workstreams, meetings, and training modules.

Business impact

The lack of a Single Source of Truth prevents effective cross-selling and up-selling between membership and service divisions.
