Current challenges

02 / 09

This is not a QContact replacement. It is the commercial operating model for an acquisition-led broking group.

Discovery Plus has already defined how Ascend should run commercially. Phase 1 builds it: one CRM for sales and marketing, controlled lead capture and follow-up, reporting leadership can act on, a rationalised data estate and a CRM architecture designed to be repeated across the brokerages Ascend acquires next.

Operational transformation, not a platform swap. We reduce complexity, rebuild reporting trust, and give Ascend Broking Group Ltd a customer lifecycle that scales.

Ascend has outgrown a model held together by QContact, spreadsheets, individual inboxes and disconnected marketing tools. Prospect and client information sits in several places, leads are triaged by hand, and leadership cannot see source, activity and progression in one view.

Forbidden has completed Discovery Plus and designed the target HubSpot operating model. Phase 1 turns that Blueprint into a working platform: structured Contacts, Companies, Leads and Deals, commercial, telesales and PMI pipelines, controlled website and campaign capture, prospect renewal nurturing and dashboards for Leadership, Sales and Marketing.

Acturis remains the specialist broking system for risk information, quoting, policy and client administration. HubSpot builds the commercial layer around it, with a clear boundary and an agreed manual process in Phase 1 where outcomes originate in Acturis.

The operational picture today.

Tooling

Critical

Reporting cannot answer commercial questions

What's happening

Marketing activity in MailChimp creates no joined-up CRM history, so campaign engagement and sales follow-up cannot be connected or judged commercially.

Business impact

QContact does not give Ascend reporting across lead volume, source, campaign, sales activity, progression, close rate, sector or marketing contribution.

Process

Critical

The current model will not scale with acquisition

What's happening

Telesales and marketing depend on separate spreadsheets and manual transfers between systems, which cannot be governed consistently across multiple businesses.

Business impact

Processes that work today become bottlenecks as PPC spend increases, healthcare volumes grow, teams expand and new brokerages join the group.

Data

High

Commercial data sits in too many places

What's happening

Approximately 25,000 to 29,000 QContact records carry duplicates, historic dumps, missing emails and domains, inconsistent company and contact associations and uncertain marketing-permission data.

Business impact

Prospect and customer information is spread across QContact, Acturis, spreadsheets, inboxes and MailChimp, so there is no reliable commercial view of the group.

People

Medium

Leads are captured and routed by hand

What's happening

PPC and aggregator leads have historically landed in individual inboxes and been distributed manually, so speed to contact and ownership vary by person rather than by process.

Business impact

Website enquiries and high-intent healthcare enquiries require manual triage, forwarding and allocation before sales begins working them.
