VAT is applied at the point of invoice. A 20% contingency allowance (£3,599.82) is included in the contract against the implementation fee only, to cover any out of scope activity.

Continuity after go-live

Silver Protection Plan

Your Silver Protection Plan begins at go-live and provides two hours of senior HubSpot support each month. It covers troubleshooting, fixes, guidance and prioritised platform improvements, helping protect the quality and continued adoption of your implementation.

What happens after 12 months?

We will hold your monthly subscription pricing from the first phase until you cancel. If you later resume beyond this, it would revert to our rate card pricing. Following the initial 12-month term, the Silver Protection Plan automatically continues on a rolling monthly basis at £360 + VAT per month, unless cancelled in accordance with the agreement terms.

  • 07Migration acceptance: record counts reconciled against the agreed Bullhorn exports for companies, contacts and open deals, plus a signed-off sample of company-contact-deal associations, mapped fields and deal stages
  • 08Ongoing selective sync from the Harnham Bullhorn instance into Rockborne's HubSpot. The sync is one-way, Harnham Bullhorn to Rockborne HubSpot, and is limited to agreed Companies and Contacts and agreed fields. The field list and qualifying criteria are documented and signed off in integration design.
  • 09Sync acceptance: a newly eligible record appears in HubSpot with the agreed mapped fields, and records that do not meet the agreed entry filters do not enter the sync. Records that have already synced may continue to sync even if they later fall outside the filter criteria, in line with HubSpot's data sync guidance.

Assumptions

  • · Rockborne provides timely stakeholder availability.
  • · The 10-week plan is a proposed delivery schedule, confirmed at kick-off.
  • · Export and API access is available for both Bullhorn instances.
  • · The record types and fields for migration are agreed and signed off at blueprint stage.
  • · The ongoing sync is one-way, from the Harnham Bullhorn instance into Rockborne HubSpot, covering agreed Companies and Contacts and agreed fields. The field list and qualifying criteria are documented and signed off in integration design.
  • · Harnham provides the access and approvals needed for the selective sync.
  • · Client dependency: a Data Hub Starter or higher subscription is required for the custom field mappings used by the sync. HubSpot subscriptions are purchased separately from HubSpot.
  • · Sales Hub Professional is recommended for the current scope, subject to verifying the connected portal and licences.
  • · Data cleansing remains Rockborne's responsibility.
  • · Super users attend all enablement sessions.
  • · Scope is fixed after blueprint sign-off.
  • · Go-live depends on client UAT approval.

Out of scope

  • · Custom Bullhorn development or API rebuilds.
  • · Migration of closed and historical deals, projects, placements, notes, emails and activity history. These require a scope change.
  • · The reverse sync direction. There is no sync from Rockborne HubSpot back into the Harnham Bullhorn instance.
  • · Ongoing sync of Opportunities, Candidates, Leads, Jobs/Projects, Placements and Notes/activities. These are excluded from the ongoing sync as a commercial scope decision and require a scope change if required later.
  • · Any object, field or direction beyond the agreed sync set. These require a scope change.
  • · Three defined pipelines and combined forecast (available as a separate phase).
  • · Consultant and project management objects and workflows (available as a separate phase).
  • · Field-level and contractor permission design (available as a separate phase).
  • · Source Whale migration unless separately agreed.
  • · Complex AI agent design or build.
  • · Ongoing CRM administration and support after go-live and handover. Ongoing support is covered by the separately priced Protection Plan.

Rockborne gains a much better handle on workflows and overall business visibility, moving away from a system that previously held things up.

Key internal super users will be developed, capable of managing the system for long-term self-sufficiency and ongoing optimisation.

HubSpot will integrate seamlessly with M365 and Ringover, serving as the central hub for all critical business data and processes.
